Last updated: 27 July 2026
This Policy describes how Viewary handles personal data in its test and demonstration platform. Please read it together with our Terms and Conditions.
Demo platform notice
Viewary is provided for testing and preview purposes. Avoid submitting real civic records, sensitive personal data, or information you expect to be handled under a final production privacy programme.
1. Overview
This Privacy Policy explains how Viewary (“we”, “us”, “our”) handles information when you use our website, applications, demos, and spatial experiences (the “Platform”).
Viewary is a test and demonstration platform. We aim to collect only what is needed to operate previews, accounts, and participation features during evaluation.
2. Test and demo environment
The Platform is not intended for production civic processes or official public consultation. Data, projects, comments, and analytics shown on the Platform may be sample, fictional, or incomplete.
Do not submit sensitive personal information, confidential government material, or data you would not want stored in a pre-release testing environment.
3. Information we may collect
Account details you provide, such as name, email address, and password (stored in hashed form).
Participation content you submit, including comments, questions, suggestions, uploads, and spatial interaction data used to test platform features.
Technical and usage information such as device type, browser, IP address, session identifiers, and logs needed for security, debugging, and performance.
Communications you send to us, for example through contact or organisation application forms.
4. How we use information
To create and manage accounts, authenticate users, and provide access to invited or demo projects.
To operate, maintain, and improve the Platform, including testing AI summaries, analytics, notifications, and spatial streaming.
To protect the Platform against abuse, fraud, and security incidents.
To communicate with you about your account, verification emails, or support requests.
5. Legal bases (where applicable)
Where GDPR or similar laws apply, we process personal data on bases such as performance of a contract (providing the service you request), legitimate interests (operating and securing a demo platform), and consent where required (for example, optional communications).
6. Sharing and processors
We may use infrastructure and service providers for hosting, email delivery, authentication, analytics, and streaming. Those providers process data on our instructions and only as needed to run the Platform.
We do not sell personal data. We may disclose information if required by law or to protect rights, safety, and the integrity of the Platform.
7. Retention
We retain information for as long as needed to operate the Platform, fulfil the purposes described in this Policy, comply with legal obligations, and resolve disputes.
Demo, test, or inactive data may be deleted or anonymised at any time as part of platform maintenance.
8. Security
We use reasonable technical and organisational measures to protect information, including access controls and encrypted transport where appropriate. No online service can guarantee absolute security.
9. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal data, and to withdraw consent where processing is consent-based.
You may request account deletion or data access by contacting us. We may need to verify your identity before responding.
10. Cookies and similar technologies
We use cookies and similar technologies for essential functions such as session management and authentication. Additional analytics or preference cookies may be used to improve the demo experience.
11. International transfers
If data is processed outside your country, we take steps intended to ensure appropriate safeguards consistent with applicable law.
12. Children
The Platform is not directed at children under 16, and we do not knowingly collect personal data from them.
13. Changes to this Policy
We may update this Privacy Policy from time to time. The “Last updated” date below shows when it was last revised. Continued use after changes take effect means you accept the updated Policy.
14. Contact
Privacy questions or requests can be sent to the Viewary team through the contact page.
